Pocket Timesheet

Timesheet calculator with breaks

A shift with a paid rest break in the morning, an unpaid lunch and another rest break in the afternoon needs more than one break box. Here every day opens with a break you can time, and “+ break times” adds as many more as the shift had.

Defaults follow the federal weekly rule (over 40 hours at 1.5×). Your state or contract may differ: set your own.

Each break is marked paid or unpaid on its own. Which breaks are paid depends on your job and your employer, so the calculator doesn’t assume: you choose for every break, and only the unpaid ones come off the day.

Type a break’s start and end as they appear on your time clock. A break that’s typed outside its shift, or a shift of 24 hours or more, is flagged on its row and left out of the totals until it’s fixed, so one typo doesn’t quietly change the week.

Worked example: Two paid rest breaks and an unpaid lunch

$20.00/h · overtime over 40 h a week at 1.5×

Adding up a day with several breaks

Start with the time from clock-in to clock-out, then subtract only the unpaid breaks. Paid breaks stay in. For 8:00 to 5:00 with two paid 15-minute rest breaks and a 30-minute unpaid lunch: 9 hours minus 30 minutes is 8 hours 30 minutes worked. The paid rest breaks don’t change it.

If both breaks are unpaid, take each one off. 8:00 to 6:00 is 10 hours; with an unpaid 45-minute lunch and an unpaid 15-minute break, that’s 9 hours worked.

Questions

Do paid breaks count toward overtime?

Paid break time is counted as hours worked here, so it adds to the weekly total that overtime is measured against. Unpaid breaks are left out of both.

How many breaks can I add to one day?

As many as the shift had. Each “+ break times” adds another start and end with its own paid or unpaid choice. “+ break” adds one typed as minutes instead.

What if a break crosses midnight on a night shift?

Type it as it happened, for example 23:45 to 00:15 on a 20:00 to 04:00 shift. A break typed earlier than the shift start is read as the next day, so it lands inside the overnight shift.

Why is my row showing “The break has to fit inside the shift”?

The break’s times fall before clock-in or after clock-out, or its minutes are longer than the shift. Check the times on that row. Until it’s fixed, that day is left out of the totals and the page says how many rows weren’t counted.

Can I print the breaks on my timesheet?

Yes. “Print timesheet” lists each day with its breaks, the hours, the totals and signature lines. Choose “Save as PDF” in the print dialog to keep a copy.
