Pocket Timesheet

Caregiver timesheet

Made for caregivers who work in someone’s home: home health aides, personal care workers and nannies who are paid by the family or the client directly. It records each visit’s start and end, breaks, the hours, and a short note of the care given that day.

At the end of the week, both of you sign: the caregiver, and the client or a family member. That signed record is useful when a family pays from a care budget, when hours are reimbursed, or simply when you both want the same numbers before payday.

Download the Excel version, which adds up the hours, or the blank PDF to keep in the home and fill in by hand. The online timesheet below handles overnight and live-in shifts that run past midnight, and prints with signature lines for both of you.

Overnight shifts on a caregiver timesheet

Write an overnight shift as it happened, for example 18:00 to 06:00. The Excel file and the online timesheet both count an end time earlier than the start as the next morning, so that’s 12 hours.

If your hours are counted with a daily limit, the online timesheet splits an overnight shift at midnight. In the worked example, 18:00 to 06:00 is 6 hours on each day, so with a daily limit of 8 none of it is daily overtime. Check with the family or agency which rules apply to your pay; this page doesn’t give legal advice.

Questions

How do I keep track of caregiver hours?

Write down the start and end of every visit the same day, with any unpaid break, and total the week. A signed sheet from the client or family each week avoids disagreements later.

What goes in the care notes column?

A short line about the day: for example meals, medication reminders, a doctor’s visit or errands. It helps the family see what was done; keep private health details out if the sheet is shared.

Who should sign the caregiver timesheet?

The caregiver and the person who approves the hours: the client, or a family member who manages the care. Both sign and date each week’s sheet.

Can I use it for babysitting or nanny work?

Yes. The columns work for any care paid by the hour. Put the child’s family as the client.

Is there a printable version?

Yes. The PDF is one page with the client or family name, seven days, the care notes column, and signature lines for the caregiver and the family.
