The Excel file has one row per day with Date, Start, End, Unpaid break (minutes) and Hours. Hours are worked out by a formula as soon as you type a start and an end, including shifts that end after midnight. At the bottom are total hours, regular and overtime hours for the week, and, if you add your hourly rate at the top, an estimated gross pay.
Start and end cells begin at 00:00; type your times over them and the row starts counting. The formulas use only basic functions (HOUR, MINUTE, MOD, ROUND and SUM), so the file also works when you open it in Google Sheets or Apple Numbers instead of Excel.
Worked example: Five 8-hour days is exactly 40, no overtime
$20.00/h · overtime over 40 h a week at 1.5×
| Day | Start | End | Breaks |
|---|---|---|---|
| Mon, Nov 2 | 09:00 | 17:00 | none |
| Tue, Nov 3 | 09:00 | 17:00 | none |
| Wed, Nov 4 | 09:00 | 17:00 | none |
| Thu, Nov 5 | 09:00 | 17:00 | none |
| Fri, Nov 6 | 09:00 | 17:00 | none |
40.00 hours (40:00): regular 40.00, overtime 0.00. Estimated gross $800.00: regular $800.00 + overtime $0.00.
What the formulas do, and what they don’t
Each day’s hours are the end time minus the start time, minus the unpaid break, rounded to 2 decimal places. An end time earlier than the start counts into the next day, so 22:00 to 06:00 is 8.00 hours.
Overtime in the file is weekly only: hours over the limit in cell B5 (40 to begin with) at the multiplier in B6 (1.5). It doesn’t do daily overtime, double time or splitting a night shift at midnight. The calculator on this page does all of those and is the one to trust if the two ever disagree.
In the worked example, five days of 9:00 to 5:00 make exactly 40 hours, so none of it is overtime, and at $20 an hour the estimated gross is $800.
Questions
Is this timesheet template really free?
Yes. The Excel file, the PDF and the online timesheet are free to use, with no account and no email needed.
How do I make my own timesheet?
List each day with a start time, an end time and the unpaid break, then work out the hours for each row and add them up for the week. This template has those columns and the formulas already in place.
Does it work in Google Sheets?
Upload the .xlsx file to Google Drive and open it with Google Sheets. The formulas are basic ones that Sheets supports, so the hours and totals keep working.
Why do the times show 00:00?
Every start and end cell begins at 00:00 so that Apple Numbers treats them as times. A row with 00:00 to 00:00 counts as empty; type over both times and that row’s hours appear.
Can my employer sign it?
Yes. The Excel file and the PDF both end with signature and date lines for you and your employer. The online timesheet prints with the same lines.
