Free time card template
A time card is one week of punches on one page: when you came in, when you left, the break you took, and the hours for each day. Download the blank PDF to print a stack of cards, or the Excel version if you’d rather type the times and let it add them up.
Free, no sign-up. The Excel file adds up hours and weekly overtime with formulas.

The PDF prints on one US Letter sheet with your name, your employer, the pay period and your hourly rate across the top, seven day rows, a line for total, regular and overtime hours, and signature lines at the bottom for you and your employer.
If a card is for checking your own pay, fill it in online below instead. Type each day’s clock-in and clock-out, and it shows the hours per day, the week’s total and overtime, then prints as a card with the totals already worked out.
Worked example: Normal 9 to 5 day, no break
$20.00/h · overtime over 40 h a week at 1.5×
| Day | Start | End | Breaks |
|---|---|---|---|
| Mon, Nov 2 | 09:00 | 17:00 | none |
8.00 hours (8:00): regular 8.00, overtime 0.00. Estimated gross $160.00: regular $160.00 + overtime $0.00.
Filling in a time card by hand
Write each punch as it happened. Use the 24-hour clock if you can (17:00 rather than 5:00), since that removes any doubt about morning and evening. Note an unpaid lunch in minutes in the break column.
For each day, subtract the clock-in from the clock-out and take off the unpaid break. A plain 9:00 to 5:00 day with no break is 8 hours, as in the worked example, which at $20 an hour is $160 of estimated gross pay.
At the end of the week, add the day totals. With the usual weekly rule, anything over 40 is overtime; write that on the overtime line and the rest on the regular line.
Questions
Can I print several time cards at once?
Yes. Print the PDF as many times as you need; each copy is one blank card for one week.
What size is the printable time card?
US Letter, 8.5 by 11 inches, on one page. It also prints on A4 if you choose “fit to page” in the print dialog.
What’s the difference between a time card and a timesheet?
In practice very little: both record start and end times and total the hours. A time card is usually one person and one week, often punched by a clock; a timesheet can cover longer periods.
Does the Excel time card work out overtime?
Yes, weekly overtime: hours over 40 in the week at 1.5 times your rate, and both numbers can be changed at the top of the sheet. For daily overtime or double time, use the online card on this page.
Is the hourly rate needed?
No. Without a rate the card still totals the hours. With one, the Excel file and the online card also show an estimated gross pay, before tax and deductions.
